PRIVACY NOTICE

The Costain 21 Club (“the Club”) is an association of members who have worked long‑term for the Costain Group. The Club exists to help members keep in touch, attend social events and share news. We take the security and privacy of personal data seriously.

This notice explains how we use members’ personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are and how to contact us

The Club is run by a Committee elected by its members. For any questions about this notice or how we use your data, please contact:

For this notice, the Membership Secretary acts as the Club’s data protection contact.

2. What personal data we collect

We hold the following personal data about members:-

Name
Home address
Home telephone number
Mobile phone number
Email address
Costain location when joining the Club (if currently employed by Costain)
Other employer/location when joining (if no longer with Costain)
Date of birth
Date joined Costain
Continuous service date (if different)
Brief description of Costain service

All information we hold is provided directly by you when you join the Club or when you later update your details. We do not collect personal data about members from third parties.

3. How we use your personal data and legal basis

We use your personal data to:-

Maintain our membership records
Keep you informed about Club events, news and activities by email or post
Provide access to the members’ area of the website
Circulate a membership list to help members keep in touch

We rely on the following legal bases:-

Legitimate interests – to run and administer the Club, keep members informed and enable members to contact each other.

Consent – where we rely on your specific agreement (for example, to show your email address on the online membership list).

You can object to our use of your data based on legitimate interests at any time (see section 8).

4. Membership list and website

A list of members’ names is available to all members on the website. Where you have supplied an email address, this may also be shown.

The membership list is only visible to members who have logged in to the website using their own password.

No other personal information is available to members from the website.

If you do not want your email address to appear on the membership list, please contact the Membership Secretary.

For members who are not on email, a hard copy address list is circulated annually.

5. Sharing your data

We do not sell members’ personal data to any third parties.

We only share your data:-

With service providers who support the Club’s activities (for example, website hosting or email services), and only where they are subject to appropriate confidentiality and data protection obligations; or
Where we are required to do so by law.

We do not transfer members’ personal data outside the UK.

6. How we store and protect your data

We take reasonable steps to keep your data secure.

Personal data is stored on the Club’s website and in hard copy held securely by the Membership Secretary.

Access to personal data is limited to Committee members who need it to carry out their roles.

7. How long we keep your data

Members join the Club for life and we keep your data while you remain a member.

If a member dies, partners may opt-in to continue receiving communication.

If you leave the Club, we will delete your personal data.

The Club does not use automated decision-making or profiling.

8. Your rights

Under UK law, you have the right to be informed, access, rectification, erasure, restrict processing, object, and data portability.

To exercise these, contact the Membership Secretary using the details in section1.

You also have the right to complain to the UK Information Commissioner’s Office (ICO) at www.ico.org.uk.

9. Changes to this notice

We may update this notice. The latest version will always be available on the Club website.
